MY ROLE

I was an User Experience Design lead in India for Talent. I defined the product strategy from the UX standpoint demonstrating the possibilities and scope to built an unique product to empower our customers. Helping the product owners to simplify the complex features through simple interaction patterns and enhancing the overall experience of the product. Envisioned an integrated ecosystem with LinkedIn to help and better the talent solution.

I was leading the effort for:

 

  • Candidate Experience

  • Referrals

  • Offer Management

MY CONTRIBUTION

In this product I played a very crucial role of modularizing the features by understanding the user journeys and simplifying the task flows for both Candidate and the Recruiter. Below are such few suggestions that I want to highlight.

 

  • Making offer acceptance and upload documents as mutually exclusive workflows

  • Suggesting cloud upload as a feature, which eventually creates an opportunity for Microsoft to cross sell One drive

  • Suggesting a feature for hiring manager or recruiter to add a To-do item in the candidate dashboard at any stage of the recruitment process

 

My scope also includes in defining the design language and the interaction patterns for candidate experience and offer, which includes the candidate portal and recruiter/hiring manager dashboard.

THE FINDINGS

Employee onboarding has significant impact on employee retention and your company’s bottom line

A 2016 Gartner study found that 1/3 of employees leave within their first six months due to:

 

  • Unclear guidelines after being hired

  • Ineffective training

  • Low engagement/support from peers

 

Replacing these employees can cost a business 16%-200% of their base salary.

PRODUCT VISION

New hires, hiring managers and HR team have a single seamless view of an end to end onboarding process.

HR should easily provision all the required logistics support for new hires.

New hires should easily connect with hiring managers and their team members. All new employee processes are integrated with ease of access. Trainings can be provided on demand and their progress monitored.

The hiring managers have accelerated hiring cycles with right resources at right time.

RECRUITER EXPERIENCE

There are several actors playing their own vital roles in offer management. It starts with:

 

  1. Admin creating the rule sets/offer data to include in offer template.

  2. Recruiter/Admin will create the offer template using rule sets/offer data added by the Admin.

  3. Hiring manager/Recruiter will create the offer using offer template.

  4. Recruiter will share offer with the candidates.

 

In the following workflow I’m showing a flow on how a Recruiter, while sharing the offer letter can set an expiry date to it and can specify the document names which he/she might want the candidate to share.

RECRUITER DASHBOARD

A simplified dashboard view for the recruiters with clear visibility of the status.

SHARES OFFER

After creating the offer and getting it approved by the approvers the recruiter shares the offer with the candidate by clicking on “send to candidate” CTA on the top.

SETTING PARAMETERS

Before sharing the offer the recruiter can optionally set an expiry date for the offer by switching the toggle or can request for multiple documents within the system specifying the document names she would want the candidate
to share.
 

The candidate would get this as a “To-do item” in the portal.

CANDIDATE EXPERIENCE

In this workflow I’m showing how the candidate will upload documents asked by the recruiter, in the previous

workflow, and accept the offer through Adobe Sign. I also want to highlight the cloud upload feature as a

strategic decision which would eventually help Microsoft to cross-sell One drive.

CANDIDATE RECEIVES EMAIL

Candidate receives an email notification with a link to the Talent application to access the offer letter, and to upload the required document.

This is a strong strategic design decision to not to deep-link the email with the offer directly.

The primary intention is to highlight the application and make it a lifeline but not a ceremonial tool for the job seekers.

CANDIDATE TO DO PAGE

From the email the candidate will come to the ‘To-Do’ page to view the pending task.

In this page she will be able to see all the ‘To-Do’ items and the ‘Done’ items chronologically.

On clicking on “Upload” she can upload the list of required documents.

UPLOADS DOCUMENTS

On adding a document, a dropdown field will get added for the candidate to associate the added document with the required documents.

Once the documents are uploaded the section will be marked as green. The candidate will now click on view offer to view and accept/reject offer.

IMPACT

  • Led to increase in productivity as the application significantly reduced the need to switch between the applications by 60%

  • Multiple workflows were highly optimized eliminating the need touse other multiple applications to perform a single task.
